Submitting Dan Shim Sa PaperworkHow Should I Present My Paperwork?
Your paperwork should be placed in a presentation folder with a cover page. The cover page should include the following details:
- Name:
- Current Rank:
- Testing Rank:
- Dan Bon (if Applicable):
- Date of Shim Sa:
- Your Instructors Name:
You should also include a letter to the Regional Examiner requesting promotion to (Cho Dan/Ee Dan/Sam Dan), that this is your submitted application and contains your:
- Rank Promotion Form
- Instructor Recommendation (completed)
- TAC Exam
- TAC workbook
- Required Essay(s)
- Photographs
- Payment, cheques to made out to 'Soo Bahk Do Moo Duk Kwan"
The letter should also contain a confirmation of your attendance at the "Celebratory Diner" and the number of guests that you will be bringing with you. You should provide a copy of this letter for your Instructors records.
Instructor Completed Sections!
There are some sections that need to be completed by your Personal Instructor. In some cases it is difficult to arrange this and it is suggested that you approach your Instructor and arrange a time for them to complete this section of your paperwork. It is your responsibility to ensure that your paperwork is complete.
Delays in completion of sections will delay the results as Candidates paperwork will not be processed until it is complete.
When Should I Submit My Paperwork?
Paperwork is to be submitted to your Instructor no later than 4 weeks prior to the Shim Sa date. The due date is noted in your letter inviting you to undertake your Dan Shim Sa.
Your Instructor will check that your paperwork is complete and forward it on to the Regional Examiner 2 weeks prior to the test date. Your Instructor may ask you to make corrections if there are errors.
However in the majority of cases, areas of difficulty should have been identified prior to this date. This will leave you with 4 weeks to prepare physically for your Shim Sa Day.
If I have Questions About my Shim Sa Paperwork Who and When Should I Ask?
Ask one of the Dan members first as they will have completed paperwork previously and may be able to explain what is required to you. Your next contact person is your Instructor for assistance with your questions. If your Instructor is not able to assist they will refer the question on to the Regional Examiner or ask you contact the Regional Examiner directly. Remember that this is a Moo Do organisation and you should always go through the appropriate pathway with your queries. Junior Dans may be able to help and as a Dan candidate they should be the first people that you ask for assistance.
Do not leave your paperwork to the last possible momment to complete. Your Instructor and the Regional Examiner have provided the paperwork for you to complete with ample time to do so and to ask questions. Look through your paperwork as soon as you receive it and use the time to address any issues well before the paperwork is due to be submitted. If you wait until the week your paperwork is due your Instructor may not be able to spend the time with you to help! Be prooactive in the preparation of your paperwork.
If I Cannot Attend the Shim Sa I was Invited to, What Should I Do?
If you cannot attend the Shim Sa for which you are invited please contact your Instructor and the Regional Examiner immediately. We endeavour to schedule the Dan Shim Sa's at the most suitable time for the majority of the candidates. If you are unable to attend the Dan Shim Sa you were invuited to you will be automatically placed on the invitation list for the next Dan Shim Sa.
Please provide written notice to the Regional Examiner if you are unable to attend your Dan Shim Sa. Provide a copy of this to your Instructor as well.
What Happens with my Paperwork?
Your Instructor checks that your paperwork is completed and forwards it on to the Regional Examiner. The Regional Examiner will read through the paperwork and if they discover any problems will raise the issue with your Instructor.
Most of your paperwork is filed away by the Regional Examiner for future reference. Your Rank Promotion Form and you Instructor Recommendation is sent on to Kwan Jang Nim HC Hwang for final approval.
If there is something in your Essay that the Regional Examiner thought was particularly well done you may be approached for that part to be used as an example for others. This is entirely up to you to agree or disagree and would not affect your grading.
When Can I Expect my Results?
There are a number of steps prior to your results being available some of which are out of our control. On the day of your Shim Sa the Examination Board and your Instructor will meet to discuss the performance of all Dan Candidates. At this point recommendations are made for each Candidate and are recorded by the Regional Examiner.
The Regional Examiner over the next few days completes all the Rank Promotion Forms and writes a letter to Kwan Jang Nim HC Hwang with all of the recommendations. Your Rank Promotion Form and Instructor Recommendation are packaged up with the letter and sent to Kwan Jang Nim HC Hwang early in the week following the Shim Sa.
Kwan Jang Nim HC Hwang provides the final approval for all Dan Shim Sa Candidates and assigns Dan Bon's to new Cho Dan's. Once the Dan Bon is assigned Certificates are prepared and returned to World Moo Duk Kwan Headquarters. The Certificates are then sent to Headqarters in Australia and distributed to Regional offices. Once the Certificates have been received and we ensure that all candidates certificates are present a Results Presentation Ceremony is organised.
As you can see there are many steps from the time of your Shim Sa to the presentation of your results. We do all that we can to ensure there is a speedy turnaround time for results but these things take time. Rest assured we do not delay results once they are in.
Electronic Versions of Paperwork
A CD with electronic files (word documents) of the paperwork is included in your Shim Sa Package. Please use the hard copy provided as a work sheet and then type your answers in and print out a final version for your submission.
